We are seeking a motivated Project Administrator/Junior Project Manager to handle all project administrative functions as determined by the lead PM and Program Director. This person will oversee the project’s daily functions to ensure deadlines are met as well as compliance with Anthology’s PM methodology in conjunction with project compliance requirements for assigned clients. This role will also be responsible for coordinating key project activities, project communications, maintaining the project management tracking site (i.e., ensuring project documents and artifacts are posted), following-up with team members on assigned tasks and deliverables, organizing folders and content in an easy-to-access, logical structure, etc. Maintaining and updating the project schedule, as directed, will also be required.

 

 

This role requires independent management of all duties, tasks and assignments and will also serve as an on-site client relationship and liaison between the client and Anthology. Strong, sensible, appropriate and consistent communication skills are a must. This person will be interacting and communicating with project team members, project leadership, Anthology leaders and executives, client project team members, client project leadership and client stakeholders and executives.

 

 

The Project Administrator will have dual reporting to the Program Director and Project Manager and assist with administrative and project management duties, including scheduling and attending meetings, preparing action plans, tracking, and reporting project progress, analyzing risk, preparing reports, analyzing data, and managing resources as required. This person will work closely with both the client project team and the Anthology project team to help the project meet quality standards and deliver on time and within budget. The ideal candidate for this role will have knowledge of or experience in higher education as well as experience using project management software and tools.

 

 

Primary responsibilities will include:

  • Daily management of project activities in line with approved scope, schedule, and budget as directed by the project manager and program director
  • Maintaining accountability for all project related documentation including functional and technical materials with minimal supervision
  • Establishing positive, professional relationship with both internal staff and client staff inclusive of professional demeanor, conduct, and appearance
  • Managing project scope and deliverables per approved Statements of Work
  • Ensuring governance structure is adhered to in accordance with Anthology’s implementation methodology and defined roles and responsibilities
  • Supporting the project communication strategy including regular project and executive status reporting to internal and external stakeholders
  • Nurturing positive client relationships
  • Managing conflicting client requests and complex issues/problems
  • Providing oversight to resolve complex problems and competing priorities in conjunction with the project manager
  • Collaborating with internal and external project team members to manage expectations and influence change when necessary
  • Assisting project manager with administrative duties and processes
  • Scheduling and attending meetings; recording meetings and minutes as needed
  • Acting as point of contact for project team and facilitating communications
  • Located at client site, serving as Anthology’s on-site primary point of contact
  • Assisting project manager in managing project deliverables, activities and resources
  • Supervising and delegating tasks to client and project team members as required
  • Assisting with planning and implementation strategies throughout the project lifecycle
  • Preparing and distributing project materials
  • Assisting with planning and implementation of policies and procedures
  • Supporting the project manager and the program director on internal and external project status reporting
  • Budget tracking and reporting as required and directed by the project manager
  • Assessing project risk, monitor progress, and alerting program director and project manager to issues as they arise
  • Collaborating on stakeholder presentations
  • Fostering positive relationships with internal and external stakeholders

 

 

The Candidate:

Required skills/qualifications:

  • Proven project management experience as either a Jr. PM or project administrator
  • Knowledge of PMBOK, standard PM methodologies, processes, procedures and practices
  • Solid knowledge of MS Project, Excel, Word, PowerPoint and SharePoint
  • Possess personal and professional maturity
  • Exceptional oral and written communication and interpersonal skills
  • Strong organizational and task management/multi-tasking skills
  • Excellent analytical, problem-solving, and critical thinking skills
  • Attention to details even under pressure and time constraints
  • Planning and time management skills with ability to meet deadlines
  • Strong meeting planning and coordination both internally and externally
  • Foundational PM skills, leadership skills and able to take direction well
  • 3-5 years’ experience in either a project administrator or PM role
